Volunteering and recruitment

If you apply to become, or are appointed as, a Trustee, Committee member, fellow or partnership volunteer, we may collect:

  • Contact details (such as name, address, telephone number and email address)
  • Employment history
  • Education history and qualifications
  • References from employers or educational institutions
  • Date of birth
  • Copies of your passport or other photo ID
  • Disclosure and Barring Service (DBS) information, where required
  • Next of kin details
  • Bank details, where applicable

Independent contractors

If you apply to provide services to GADP as an independent contractor, or are appointed as one, we may collect:

  • Contact details (such as name, address, telephone number and email address)
  • Employment history
  • Education history and qualifications
  • References from employers or other professional referees
  • Copies of your passport or other photo ID, where required
  • Bank details
  • Information necessary to manage our contractual relationship with you and process payments

3. LAWFUL BASES AND YOUR DATA PROTECTION RIGHTS

Under UK data protection law, we must have a “lawful basis” for collecting and using your personal information. There is a list of possible lawful bases in the UK GDPR.

  • Your right of access – You have the right to ask us for copies of your personal information. You can request other information such as details about where we get personal information from and who we share personal information with. There are some exemptions which means you may not receive all the information you ask for.
  • Your right to rectification – You have the right to ask us to correct or delete personal information you think is inaccurate or incomplete. 
  • Your right to erasure – You have the right to ask us to delete your personal information. 
  • Your right to restriction of processing – You have the right to ask us to limit how we can use your personal information. 
  • Your right to object to processing – You have the right to object to the processing of your personal data. 
  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you.
  • Your right to withdraw consent – When we use consent as our lawful basis you have the right to withdraw your consent at any time.

4. OUR LAWFUL BASES FOR COLLECTING AND USING YOUR DATA

 

Newsletters and updates

  • Lawful basis: Consent. We will only send you newsletters, fundraising appeals, campaign updates and event invitations where you have given your consent. You may withdraw your consent at any time by using the unsubscribe link in our emails or by contacting us.

Enquiries

  • Lawful basis: Legitimate interests. We use your personal information to respond to your enquiry and provide any information you have requested.

Fundraising

  • Lawful basis: Legitimate interests. We process personal information relating to donations where this is necessary to administer and acknowledge donations, maintain appropriate financial records and support our fundraising activities.

Conferences and events

  • Lawful basis: Legitimate interests. We process your personal information to organise and administer conferences and events, communicate with attendees and manage registrations.

Volunteering and recruitment

  • Lawful basis: Legitimate interests. To operate efficiently, safely and effectively, GADP needs to process personal information relating to trustees, committee members, fellows, partnership volunteers and applicants. This enables us to:
  • administer volunteer recruitment and appointments
  • communicate with volunteers and governance bodies
  • organise meetings and programme activities
  • process work permits and medical registrations in Ethiopia or Zambia
  • safeguard volunteers, patients and the public
  • support volunteers throughout their placements
  • arrange international travel and overseas placements
  • meet our governance and operational responsibilities

Independent contractors

  • Lawful basis: Legitimate interests (during recruitment) and Contract (once appointed). If you apply to provide services to GADP as an independent contractor, we process your personal information as part of our recruitment and selection process. This enables us to assess applications, communicate with applicants, obtain references where appropriate and make recruitment decisions.

Where you are appointed as an independent contractor, we process your personal information as necessary to administer our contractual relationship, communicate regarding the services you provide and process payments.

 

5. WHERE WE GET PERSONAL INFORMATION FROM

We collect personal information directly from you.

 

6. HOW LONG WE KEEP YOUR INFORMATION

Details of how long we retain personal information are set out in our Data Retention Policy.

 

7. WHO WE SHARE INFORMATION WITH

We use trusted third-party providers to help us deliver our services.

Data processor: we use MailerLite to manage our mailing lists and distribute newsletters and other communications.

 

8. SHARING INFORMATION OUTSIDE THE UK

Some personal information relating to volunteer recruitment and programme management may be shared with our partner organisations in Ethiopia and Zambia.

Where personal information is transferred outside the UK, we ensure appropriate safeguards are in place in accordance with UK GDPR.

In particular, data shared with administrators and supervisors in Ethiopia and Zambia is carefully controlled and transferred only where necessary for volunteer recruitment, placement and programme management.
